Set-up /Break Down Guidelines

Two members are assigned Set Up/Break Down at each meeting. The primary responsibility is to prepare the Design Tables, set out the name tags at the entrance and put away all supplies at the end of the meeting.

❀ The Set Up/Break Down team needs to arrive no later than 9:00 am and locate the large bin on the rolling cart containing the supplies (name tags, tablecloths, Section A and B signs, yardstick and bamboo sticks) for Set Up. It is usually next to the kitchen. Put the name tags out at the entrance table, put tablecloths on the tables used for Design and lay the bamboo sticks 30” or the width designated by the hort schedule, apart (use yardstick). You may need to adjust the space depending on number of entries and size of the design.

❀ There should be at least two tables prepared for Section A Open Design. Place identifying sign on the first table. There should be at least two tables prepared for Section B NJSA Design. Place that sign on first table and allocate, with bamboo sticks, 7-10 spaces in the Novice section, 7-10 in the Junior section and 5-6 in the Senior and Advanced sections. Adjust space as needed.

❀ Set up team should stay close as members arrive and place their designs and may need to expand to more spaces in NJSA categories. An additional table may need to be added if more space is required.

❀ At the end of the meeting the team should remove all signs and bamboo sticks, fold tablecloths, gather name tags and put items away in the large bin.

Any member who is unavailable during her assigned month should find a substitute for herself and let the Vice-President know who the substitute will be.
