Standing Committees and Their Responsibilities

AWARDS: The Awards Committee shall be responsible for preparing the record for the judging of designs and horticulture for each meeting. The Awards Committee shall maintain the records of member achievement; shall purchase, and have at hand for each meeting, entry slips for design and horticultural specimens and awards. The Awards Committee shall be the custodian of supplies, including entry cards, ribbons and report forms, and provide an ample supply at each meeting by 9:30 am. They shall supply a clip board with report forms made out for each class to the Aides and instruct them on their procedures, which are to follow the Judges quietly and mark cards as indicated, attach appropriate ribbons, record judges comments on entry notecards, and carefully insert winners' names on the report form. The Committee shall announce awards at the end of each meeting, keep a record of Aides who have served, and notify Aides of the next assignment. They shall prepare and distribute annual awards and announce promotions at the June meeting. The Awards committee shall submit awards applications to the NGC, Inc. on behalf of the club.

COMMUNITY OUTREACH: The Community Outreach Committee shall be responsible for identifying ways in which BHGC can contribute to the community through stimulating interest in and providing information about and assistance with gardening, floral design, conservation, and related activities per our mission statement. Once appropriate activities or programs have been identified by the Community Outreach Committee, the Committee shall submit such activities to the Board and membership for approval for the BHGC to participate in such activities and programs. The Community Outreach Committee shall be responsible for implementing any such activity or program approved by the membership, with the assistance of the officers and members as needed.

DESIGN: The Design Committee shall be responsible for preparing the design schedule for the year to be included in the Club yearbook, and preparing the design schedule for any flower shows held by the Club. Each schedule should include space allotment and type of materials allowable, and reference the appropriate NCG Flower Show Handbook page. The Design Committee shall explain the elements of the upcoming scheduled designs at monthly meetings, and be available for consultation regarding design questions by the membership. The Design Committee is responsible for keeping an inventory of staging supplies, ensuring that individuals assigned to the "staging function" each month set up and clean up the design tables, class cards, dividers and other equipment, and that the tablecloths are cleaned and pressed yearly.

FUNDRAISING: The Fundraising Committee shall be responsible for identifying and recommending to the Board various Club fund-raising events, such as the making and selling of wedding flowers and holiday wreaths, or other fund-raising activities. The Budget/Fundraising Committee shall also be responsible for organizing such events. The Committee shall provide the Board with estimated revenues and expenses of such activities, to be included in the Club Budget. The Treasurer shall be a member of the Fundraising Committee.

HORTICULTURE: The Horticulture Committee shall be responsible for preparing the horticulture schedule for the year to be included in the Club yearbook as well as the horticulture schedule for any flower show held by the Club. The Horticulture Committee shall explain the upcoming horticulture schedule at the monthly meetings and be available for consultation regarding questions by the membership. At each meeting the Chair shall supervise Horticulture entries and reclassify as needed. (Three specimens of one variety can be made into a sub-class.)

HOSPITALITY: The chair shall purchase and have on hand for each meeting: coffee, tea, cups, and condiments. Each month, the Chair shall remind the lead host for that month that he/she is responsible for contacting other listed hosts to make luncheon assignments, including food, dessert, cream, and table arrangement, and table decorations and paper products as needed. The Chair shall remind monthly hosts that they should: arrive early enough to get the buffet table set, the coffee and tea started, and food on the trays before the meeting starts. A small tray should be provided for the visiting judges. Please see BHGC Hospitality Guidelines for the following check lists: Set-Up, Drinks, Menu, Kitchen, and Clean-up. All BHGC supplies should be returned to the bin and given to the Hospitality Chair. The Hospitality Committee shall be responsible for organizing the Holiday party and End-of-Year Luncheon, including clean-up for both events, and preparing the requisite sign-up sheets.

JUDGES: The Judges Committee shall be responsible for getting accredited judges to serve at each club meeting as necessary, notifying judges aides of their responsibilities each month, greeting the judges when they arrive at the club, and buying thank-you gifts for the judges. In addition, the Judges’ Committee should provide Judges with the Schedule in advance, as well as explain the schedule and pertinent Club rules for each category. Upon completion of the Judges' service, the Chair shall extend the Club's appreciation with a token gift, and then invite them to join the club for lunch. All Judges’ contact information should be forwarded to the Corresponding Secretary so that thank you notes can be sent.

MEMBERSHIP: The Membership Committee shall be responsible for creating and maintaining membership applications, receiving all applications for membership and presenting them to the Board for action, and ensuring that new membership contact information is disseminated to the Board and membership. The Membership committee shall also engage in activities to increase and maintain membership. In the event that BHGC reaches the maximum number of active members, the Membership Committee will maintain a Waiting List. The Membership Committee shall notify members by March first of their status, vis-a-vis meeting membership requirements for the year. The Chair shall keep an accurate list of members and a file of their special activities and interests, and keep a record of their attendance and monthly exhibits. The Chair shall keep a file for five (5) years on the status of members who resign or leave the area. The Chair shall accept applications and resignations and collect dues from all members

The Chair shall notify NCAGC, Inc. of any membership changes or new addresses with requisite fees and send an updated membership list with yearly dues to the NCAGC, Inc., Executive Secretary before May 1. The Membership Chair is custodian of the Guest Book and should record all guests' names and be sure that they are introduced at the meeting.

PROGRAM: The Program Committee shall be responsible for writing a yearly schedule of planned programs, to be included in the yearbook, adhering to the approved budget. The Committee shall secure speakers, providing equipment and assistance as needed, introduce speakers before each program and arrange for payment or gifts after the program is complete. The Program Committee Chair should forward all speakers’ contact information to the Corresponding Secretary, so that thank you notes can be written.

PUBLICATIONS: The Publications committee is responsible for preparing and disseminating information concerning the Club's activities to various media, including the NCAGC, Inc. newsletter, and creating and maintaining a World Wide Web presence. The committee shall prepare, have printed, and distribute the Club Yearbook to Club members.
